Importing Clio Matters as Watches
How to browse your Clio matters and create monitoring watches
# Importing Clio Matters as Watches
Once your Clio account is connected, you can browse your matters and import selected clients as ObituaryMonitor watches.
---
## Step 1: Open the Matter Browser
On the Integrations page, click the Import button on the Clio card.

This opens the matter browser, which pulls your matters directly from Clio in real time.
---
## Step 2: Filter Your Matters
Use the filter controls at the top of the browser to narrow the list:
- Status — Open, Closed, or Pending (default: Open)
- Search — Search by matter number, client name, or description

For most probate firms, filtering to Open matters with a practice area containing "Probate" or "Estate" will show the most relevant matters.
---
## Step 3: Select Matters to Import
Check the boxes next to the matters you want to monitor. You can select multiple matters at once.

The list shows:
- Matter number
- Client name
- Practice area
- Responsible attorney
- Open date
---
## Step 4: Click "Import Selected"
Click the Import Selected button. ObituaryMonitor will:
- Fetch the full contact record for the client on each selected matter
- Create an ObituaryMonitor watch for each one
- Store the Clio matter ID and contact ID for future syncing
A confirmation message will appear showing how many watches were created.

## What Gets Created
For each imported matter, one watch is created using the client contact on the matter:
| ObituaryMonitor Field | Source in Clio |
|---|---|
| First Name | Contact first name |
| Last Name | Contact last name |
| Date of Birth | Contact date of birth |
| City | Contact primary address city |
| State | Contact primary address province/state |
| Case Number | Matter display number |
| Case Type | Mapped from practice area (see below) |
| Assigned To | Responsible attorney name |
| Date of Interest | Matter open date |
| Internal Notes | "Imported from Clio matter: [number]" |
### Practice Area Mapping
| Clio Practice Area (contains) | ObituaryMonitor Case Type |
|---|---|
| Probate, Estate | Probate |
| Trust | Trust Administration |
| Planning | Estate Planning |
| Collection, Creditor | Collections |
| Insurance | Insurance |
| Skip, Locate | Skip Trace |
| Genealogy | Genealogy |
| (anything else) | Other |
---
## Important: Date of Birth
The Date of Birth field is only synced if it is filled in on the contact record in Clio. Many firms leave this blank. If DOB is missing, the watch will still be created and monitored — but match accuracy for common names will be lower.
Recommendation: For your most important matters, verify that the client's Date of Birth is entered in Clio before importing.
---
## Duplicate Prevention
If you import the same matter twice, a second watch will be created. Before importing, check whether a watch for that client already exists. You can also use Link Existing Watches to associate an already-created watch with a Clio matter instead of creating a new one.
