Why Use Cases?

Creating a New Case
Step 1: Navigate to Cases

- Click "Cases" in the sidebar
- You'll see your cases list (or empty state)
Step 2: Click New Case

- Click "+ New Case" button
- Or click "Create Your First Case" if empty
Step 3: Choose a Template
Select from templates:
- Probate Administration - Estate proceedings
- Trust Administration - Trust matters
- Collections - Debt recovery
- Skip Trace - Locate missing persons
- Blank Case - Start from scratch
Step 4: Enter Case Details

Required Fields:
- Case Name: Estate of John Smith
- Client Name: Smith Family Trust
Recommended Fields:
- Matter Number: 2026-PRB-042
- Jurisdiction: Hamilton County, Ohio
- Filing Deadline: March 15, 2026
Step 5: Create the Case
- Review all information
- Click "Create Case"
- You're taken to the case detail page
Adding Watches to a Case
Method 1: From Case Page

- Open the case
- Click "Add Watch" in the case
- Fill out watch details
- Watch is automatically linked
Method 2: Link Existing Watch

- Go to Watches page
- Find the watch to link
- Click the watch card
- Click "Link to Case"
- Select the case
Case Detail Page

Header Section
- Status badge (Monitoring/Matched/Closed)
- Watch count
- Match count
- Days active
Watches Tab

Lists all watches linked to this case with status and quick actions.
Activity Tab
Complete activity timeline:
- Watch created events
- Match found events
- Match confirmed/dismissed
- Report generated
Case Statuses Explained

| Status | Badge | Meaning |
|---|---|---|
| Monitoring | Blue | Actively scanning |
| Match Identified | Amber | Match needs review |
| Log Generated | Purple | Audit report created |
| Court Filed | Green | Documentation submitted |
| Closed | Gray | Case complete |
Generating Case Reports
Full Case Report
- Open the case
- Click "Generate Report"
- Choose "Full Case Report"
- Select date range
- Download PDF
Negative Search Certificate
When no matches are found, generate a certificate proving diligent search.
Filing Deadline Reminders

You'll receive reminders:
- 30 days before deadline
- 14 days before deadline
- 7 days before deadline
- 1 day before deadline

- Use consistent naming - Makes searching easier
- Add matter numbers - Cross-reference with your system
- Set deadlines - Get automatic reminders
