How Clio Sync Works

Keeping your watch data current after initial import

Last updated February 22, 2026

How Clio Sync Works

After importing matters, ObituaryMonitor can keep watch data current by re-syncing with Clio.

What Gets Updated on Sync

When a watch is synced from Clio, the following fields are refreshed using live data from Clio. Existing values are only overwritten if Clio provides a non-empty value — local edits are preserved if Clio returns nothing.

FieldUpdated?
First NameYes (from contact)
Last NameYes (from contact)
Date of BirthYes (from contact)
CityYes (from contact address)
StateYes (from contact address)
Case NumberYes (from matter)
Assigned ToYes (from responsible attorney)
Case TypeYes (remapped from practice area)
Date of InterestYes (from matter open date)

Fields like Internal Notes, Tags, and Priority Level are never overwritten by sync — those remain local.

Re-Syncing an Individual Watch

To refresh a single watch from Clio:

  1. Open the watch detail page
  2. Look for the Sync from Clio button (visible on Clio-linked watches)
  3. Click it — the watch updates immediately

Bulk Sync All Watches

To refresh all Clio-linked watches at once:

  1. Go to Integrations
  2. Click the Sync tab
  3. Click Sync All Now
Sync tab with Sync All Now button
Sync tab with Sync All Now button

This updates all watches that were originally imported from Clio, up to 100 records per run.

Auto-Sync Settings

You can configure automatic sync on the Sync Settings panel:

  • Auto-sync enabled — Turn on scheduled syncing
  • Sync frequency — Daily, weekly, or manual only
  • Sync on login — Refresh watches each time you log in
  • Conflict resolution — What to do if Clio and local data differ (default: keep local)

What Sync Does Not Do

  • Sync does not import new matters. New matters from Clio must be manually imported using the matter browser.
  • Sync does not delete watches if a matter is closed in Clio. The watch remains active unless you archive or delete it manually.
  • Sync does not create matches — it only updates watch data.
